

OFFICE MANAGER
We are seeking a capable and organised Office Manager to provide high-level administrative, systems and operational support to the Swan Earthmovers team and the wider Swan Group.

This role is ideal for someone who enjoys variety, takes ownership, and can confidently manage business systems, office operations and financial administration while supporting a busy operations team.

Position Description
The Office Manager role is a permanent part-time position that is both customer and business-focused, and it provides critical support in the following areas:
SYSTEMS & BRANCH MANAGEMENT

Systems operation and management. The Office Manager is responsible for the operation, management and supervision of key business systems, including:

Next Minute (Sales and job costing records)

Xero (AP, AR and Payroll)
-
Bright HR (employment data)
-
Bright Safe (safety data)
-
Mechanic Desk (repairs and maintenance records)
-
Swan Group Safety Management System (WHS policy and procedures)
-
Swan Group Asset Management (future).

ISO Certification Maintenance. Operate and maintain ISO Accreditation status (Quality and WHS System) in accordance with the Swan Earthmovers Management Manual and JLB Track monitoring system.

Operational data analysis. Working with the Operations Manager, interrogate and analyse data collected by our business systems, and present performance management reports.

Stock control. Responsible for maintaining accurate stock records and movements, resulting in real-time stock control/value.

Branch management. Management of all aspects of an effective support service, including visitor induction, housekeeping, amenities, catering, repairs, equipment and records management.

Office Allrounder. From time to time, the Office Manager shall support other Swan Group entities with comparable financial and administrative tasks.

Training needs and coordination. Working with the Swan Earthmovers team, identify training needs, organise delivery, and record.

The Office Manager will interact with The Swan Group Finance Team on a regular basis and, may from time to time, share task-based responsibilities.

The Office Manager will report directly to the Operations Manager.
