

Office Allrounder
We are seeking a capable and adaptable Office Allrounder to provide high-quality administrative, technology and financial support to the Directors and the wider Swan Group.
​
This role is ideal for someone who enjoys variety, takes ownership, and can confidently juggle administration, systems, and light finance tasks while supporting a busy leadership team.

Business: The Swan Group
Location: Meningie or Tailem Bend (with support across Swan Group entities)
Reports to: Directors / Group Management
Employment Type: Full-time or Part-time (by negotiation)
Key Responsibilities
Administration & Office Support
-
Provide day-to-day administrative support to Directors and Group management
-
Manage emails, calendars, correspondence and document preparation

Maintain organised digital and physical filing systems
-
Assist with onboarding documentation and general HR administration
-
Coordinate meetings, travel and internal communications as required
Technology & Systems
-
Confident use of business systems including Xero, Microsoft 365 and cloud-based platforms

Support document control, templates and shared drives across the Group
-
Assist with system improvements, process documentation and basic troubleshooting
-
Support implementation and adoption of new systems and technologies
Finance Support
-
Assist with accounts payable and receivable
-
Invoice processing, reconciliations and expense tracking

Support finance managers and external accountants as required

Maintain accurate records in line with Group standards
Group Support

Provide responsive support across multiple Swan Group businesses

Assist with projects, reporting and ad-hoc tasks as required

Act as a reliable point of contact between sites, teams and Directors
Skills and Experience
Essential:
-
Strong administration and organisational skills
-
High level of confidence with technology and business systems
-
Experience using Xero or similar accounting software
-
Sound written and verbal communication skills
-
Ability to manage competing priorities and work independently

Desirable:

Previous experience in a multi-entity or small business environment
-
Exposure to finance, bookkeeping or payroll support

Experience supporting senior leadership or Directors
-
Understanding of regional or family-run businesses
